Aggie Square offers flexible meeting and event spaces designed to support innovation, collaboration, creativity, and community engagement. Whether you are planning a meeting, workshop, or large event, the information below will help you understand available spaces, booking requirements, and planning guidelines.
Please note: Event policies and requirements vary depending on whether your organization is UC Davis–affiliated or external. Reviewing these details early will help ensure a smooth planning process. This process reserves the space only. On-site event coordination or staffing is not provided by Aggie Square. If you are a UC Davis affiliate and your department requires event planning support, we recommend reaching out to UC Davis Conference and Event Services for assistance.

Event Planning Resources

- Reservations are processed on a first‑come, first‑served basis
- Bookings are not confirmed until all agreements, approvals, insurance requirements, and payments are complete

Event costs at Aggie Square are made up of separate components, depending on your event details:
- Space Reservation Fee
- The base cost to reserve your space, is based on the selected venue, total time (including setup and teardown), and whether the event is during business hours or after hours.
- Additional Fees and Costs
- Post-Event Custodial Fee: Charged separately when required for events with food and/or beverages. Costs are based on attendance, event duration, and service needs.
- After-hours Security Fee: Required for after‑hours and weekend events. When applicable, security staff must remain onsite for the full event duration and are quoted separately.

- Parking Costs: Parking is not included in bookings and defaults to attendee self‑pay. Hosts may request pre‑paid or validated parking as an add‑on, subject to availability and advance coordination.
Once your inquiry has been submitted, our team will review your event details and confirm which costs apply before your reservation is finalized. We will reply to your inquiry as soon as possible, but please allow for up to two (2) weeks to receive a response.
Cancellations must be submitted at least 48 hours prior to the event. Ending an event early does not reduce fees, custodial costs, or security charges
Aggie Square prioritizes mission‑aligned events that support innovation, community connection, and public engagement.
For select spaces (Assembly Hall, Jewel Box, and Civic Lounge), space use discounts may apply for events that are:
- Free and open to the public
- Hosted by a nonprofit or community‑based organization
- Mission‑aligned or innovation‑related
- Serving priority zip codes near Aggie Square
We also offer a limited number of space sponsorships each month for mission‑aligned events that are free and open to the public.
- Sponsorships and discounts are not guaranteed
- Requests are reviewed on a rolling basis, subject to eligibility and availability
- This policy does not apply to UC Davis‑managed classrooms or conference rooms
- Space fees do not apply to Aggie Square tenants; district tenants receive complimentary shared‑space access
You may indicate interest in sponsorship or discounts when submitting your inquiry.
- Setup and teardown must be included within your reserved time (Example: If your event runs from 1:00–6:00 PM, your reservation must include setup and teardown time (e.g., 11:30 AM–7:00 PM)
- Temporary unloading is permitted at the designated service curb
- Load‑in and load‑out must occur within your reserved time
- Early or extended access is not available
- It is the responsibility of event organizers to coordinate load-in with external vendors or caterers
Standard Building Access
Public access is available Monday–Friday, 6:30 AM–6:00 PM.
Weekend and after‑hours access requires advance approval.
UC Davis–Affiliated Events
- Badge access must be confirmed at least two weeks prior to the event, through your department
- If badge access cannot be confirmed, fee-based security services are required
- When required, Public Safety Officers (PSOs) must remain onsite for the entire event duration
Non-university Events
- Fee-based, on‑site security is required for all weekend or after‑hours events
- Security staffing cannot be reduced or dismissed early
- Door access schedules must be finalized two weeks before the event
- After‑hours access is limited to designated building entrances
Sternos and open flames are prohibited on-site.
UC Davis–Affiliated Events
- All catering requests must first be submitted to UC Davis Food and Nutrition Services (FNS), as they hold first right of refusal for event catering at Aggie Square for UC Davis students, faculty, and staff.
- Please view the FNS menu here. Staffed catering requests should be submitted 60 days in advance.
- FNS Contact Info: If you have an immediate request, please contact FNS during business hours: 8:00 a.m. – 4:30 p.m. by phone: (916) 734-8378. Otherwise, please email all inquiries to: hs-fnscatering@ucdavis.edu.
- If FNS declines, Olive and Vine is the only remaining full‑service option. If full‑service catering is declined, private drop‑off catering is permitted. External full-service catering is not permitted.
- Event planners are responsible for setup and cleanup for drop‑off catering with any vendor they choose, but must still follow all campus policies and procedures related to payment.
Non-university Events
- In select spaces (classrooms and Aggie Commons), UC Davis Food and Nutrition Services (UC Davis Health’s onsite catering service) hold first right of refusal for all catering requests.
- For all other spaces, private drop‑off catering of your choice is allowed.
- Per our Community Benefits Partnership Agreement, Aggie Square is committed to supporting local businesses, and encourages event planners to view our list of recommended local food and beverage vendors.
- Event hosts are responsible for setup, service coordination, and cleanup
Events serving food and/or beverage will be subject to standard post-event custodial fees. Please provide an accurate description of your food and beverage plans in our inquiry form, so we can provide the best cost estimate possible.
UC Davis–Affiliated Events
- Requests must be submitted internally by the hosting department through Tririga.
- The Custodial Services recharge rate starts at $105 per hour for additional cleaning. Work orders must be submitted for events with a 2-week lead time.
- Contact Facilities Management Customer Service at 530-752-1655 7am-4pm, and they will assist you with the request.

- Extended services beyond the scope of the described requests may incur additional fees
Non-university Events
- Standard post-event custodial estimates are provided during the booking process, when applicable.
- Custodial staff are not on‑call unless requested and scheduled in advance.
Yes, both university and non-university events can serve alcohol, provided the steps below are followed:
- All alcohol service requires an approved permit through the following link:

- Once your permit is generated, event organizers must initial and sign the PDF, and submit it for review via email to: ces-permits@ucdavis.edu
- Applications should be submitted a minimum of ten (10) business days in advance of your event
- Approved permits are due no later than 48 hours before the event
- Additional guidelines are available on the UCD CES website.
Parking is not included with event bookings. Aggie Square offers options to pay in advance for attendee parking; all events default to attendee self-pay for parking.

Non-university Visitor Parking
- Aggie Square Garage is the designated parking location for guests.
- Rates: $8/hour, $20 maximum daily
- Pre‑paid parking options may be arranged in advance
Ability to reconfigure your event space and/or move furniture depends on the venue and may require coordination with our team.
- Fire Marshal approval may be required for major layout changes

- All furniture additions or room reconfigurations require advance approval
- For larger and heavy furniture (not on wheels), please specify requests when you submit your space inquiry, and we’ll advise accordingly.
- All furniture must be returned to its original layout following the event.
- Failure to reset the space may result in additional charges.
Use of decor and wayfinding signage is permitted, with noted exceptions below. Please include details about decor or signage in your space inquiry submittal.
- Taping, stapling, or hanging signage on walls, doors, or windows is not permitted
- Aggie Square-approved A‑frames, easels, or stanchions may be used
- Large signage or decorations require Fire Marshal approval
- Balloons are not permitted anywhere on site
AV capabilities vary by room and may include screens, projectors, microphones, HDMI connectivity, and Wi‑Fi.
- Not all rooms offer integrated video-conferencing
- Modification of installed AV systems is not permitted
- AV guides will be provided upon booking confirmation
